| Register now and start making money. Anyone can register with netsoundsmusic.com to become a seller. If you are a retailer with 1000's or even a private collector with just a few, and you can reliably ship items directly to purchasers, you can register today in 10-15 minutes. Simply complete the relevant form here. What does it cost. It is free to advertise your music products on netsoundsmusic.com. There are no joining fees, monthly charges or advertising costs. All we ask is a small commission from you on all sales / orders forwarded through the netsoundsmusic.com marketplace. This commission will either be 5% for sales where the seller processes the payment themselves or 15% for sales where netsoundsmusic.com processes the payment on the sellers behalf. Sellers can increase their prices to cover this commission but the majority of sellers are happy to forgo this amount due to the increase of sales that they experience. The above commission rates are all subject to VAT at the current rate. Why you should join. netsoundsmusic.com is the internet's main source for UK music related product. It offers hard to find and deleted items and encourages value for money by having items from many different sellers in one easily searchable database. If you can't accept credit card payments then we can do this for you and forward the payments to you. Buyers are more likely to trust netsoundsmusic.com than an unknown seller so you are more likely to make that sale to a new customer. Save money on advertising - netsoundsmusic.com pay for all the advertising for the marketplace. Shoppers are more likely to buy using a secure system than an unknown or an unsecure site. Mail Order music vendors are selling more product on the internet, attracting more customers, and operating with lower overheads. Listing yourself in netsoundsmusic.com. The first thing to do is sign up using our registration forms at "Register Now". This will describe all information about your company, your policies, shipping rates, and how payments are to be received from the customer. Getting your INITIAL database to netsoundsmusic.com. netsoundsmusic.com requires your database to be in the form of a computer file and we can accept your INITIAL database in many different formats. Your database can be of any size and we have found that sales are proportional to database size so the larger the better. If you already have your listings in a database, spreadsheet or word processor document the chances are we can use it as it is, with no modifications necessary by yourself. Please ensure that duplicate items are deleted from the file prior to submitting it for inclusion. If you're not sure please send it to us and we'll see if we can use it. Alternatively email us if you would like some more information. Acceptable formats for your INITIAL database file are:- 1) Excel Spreadsheet 2) Database file in .DBF (DBase) or .MDB (Access) form 3) Delimited Text Format (preferably tab or comma delimited) The contents of your database will need to be separated into separate fields that can be distinguished from each other. This means that "Artist" must somehow be distinguishable from "Title" etc. If you are using a Spreadsheet this would mean putting Artist, Title, Description, Format, Price (for example) in a different column. If you are using a word processor a unique character should be used to separate the fields, and the result saved as a plain text file. You may choose from the following fields (maximum field lengths are also shown):
At a minimum you will need to have "ARTIST", "TITLE" and "PRICE" fields. If you use two fields for item condition please use "CONDITION 1" for media and "CONDITION 2" for sleeve / cover, otherwise just use "CONDITION 1". If you use a "QUANTITY" column, please specify a negative number for back / special order items. If you use "MEDIA FORMAT", "QUANTITY" or "SELLER CATALOG / STOCK NUMBER" fields then these fields must all have entries in them. If any of these fields are empty then the listing will be rejected. Any fields in your file that are longer than the maximum lengths detailed above will be automatically truncated. If you keep your stock listings in multiple files you should amalgamate them into one file prior to sending to us, or upload them in a single .zip file. Your file can be priced in any of the following currencies: Great Britain Pounds, United States Dollars, Euros, Japanese Yen, Canadian Dollars, Australian Dollars, Swedish Krona. Prices are converted into GBP by our upload system at the prevailing exchange rates from Oanda. If you are uploading multiple files you should ensure that ALL your files are in the same layout column wise, otherwise you will find that your column information will be mixed up on some of your listings. Your price column should be formatted to a maximum of 2 decimal places only and should only contain numbers (there is no need to include currency symbols or other text). You should also use recognised symbols to designate number groupings (for example 2.00 2,000.00 2,00 2.000,00). You will experience problems in your listings such as incorrect or zero prices if you do not do this. Your database does not have to be in alphabetical order - the netsoundsmusic.com system will automatically do this. You should have one listing on each line - here's an example:- ARTIST|DESCRIPTION|PRICE Pink Floyd|Dark Side of the Moon UK CD Album|7.99 Abba|Gold LP|3.99 INXS|Suicide Blonde 12" Single|4.99 Here's the same database in a spreadsheet format:- ![]() Stock quantity and back / special order items. Ideally you should include a "Quantity" column in your database file to indicate how many copies of an item that you have in stock. Our upload system removes duplicate items to prevent sellers from listing 100's of copies of the same item which pollute the search results. If you do include a "Quantity" column in your listings, our system will decrease the count by one each time an item is sold. When the item count reaches zero the item will be deleted from your listings automatically. You also can and should use negative numbers to indicate any items that have to be back / special ordered (i.e. items that you don't physically have in stock available for immediate despatch). This will allow our system to highlight to customers the fact that it may take a little extra time for them to receive their order. Failure to correctly identify back / special order items will have a negative impact on your performance ratings, may leave you open to receiving negative feedback from customers and ultimately may result in you being removed from netsoundsmusic.com for poor performance. How do i get my INITIAL database file to you? 1) By email to stock@netsoundsmusic.com. It is best to compress the file using a "Zip" compression program. 2) Place the file on a web server and tell us where to retrieve it from. 3) Post it to us on a 3.5" floppy or 5" CD!!! When providing your initial file be sure to tell us who it's from. When will my INITIAL database appear on netsoundsmusic.com? New sellers will be added to netsoundsmusic.com as soon as possible and will be notified accordingly. We aim to add all new registrations within 7 days where possible, although it may take longer than this due to maintenance of our servers, excessively busy periods, or unforeseen circumstances. Updating databases. To make use of our automated bulk uploading system a sellers file should be converted into "Delimited Text" format (for example "Tab Delimited Text" or "Comma Delimited Text"). Usually this is as simple as clicking on "File - Save As" in the software program that is used to maintain your stock listings, and then changing the file type accordingly. Once you have your file in an acceptable "Delimited Text" format, you should log in to the "Seller Admin" area and click on "Bulk Upload" where you will be able to specify the column layout and other settings for your file(s). Using our automated bulk upload system files can be uploaded as frequently as the seller wishes and assuming their file meets certain criteria, then it's contents will appear within the main netsoundsmusic.com database within approximately 60 minutes of uploading. Please note that while the automated upload system should add seller files during it's 60 minute rotation period, some times this will not be possible due to maintenance of our servers, excessively busy periods, or unforeseen circumstances. netsoundsmusic.com cannot accept responsibility for any losses or damages caused by this. If you are having problems using our bulk upload facility, please contact us at admin@netsoundsmusic.com. Database criteria for near real time uploading. It should be noted that the netsoundsmusic.com bulk upload system is based on "synchronization" technology. Over the years we have found that when a seller uploads replacement listings, usually only a small percentage of their listings have actually changed. For example, even our busiest sellers with hundreds of thousands of items in their inventory will usually only sell / add a few thousand items every week. It is therefore extremely inefficient to simply delete all of a seller's current listings on netsoundsmusic.com and then add their entire inventory again! With this in mind, we developed our bulk upload facility to be a "synchronization" system - it is capable of comparing a seller's upload file with their current listings in our database and is able to determine which items need to be removed, added, or updated in order to bring their listings up to date. For example, if the seller had 200,000 items listed on our web site currently and then uploaded their new listings after selling 7,000 items, adding 4,000 items and updating 2,000 items (by changing their price or quantity columns). Our system would determine that it needed to delete 7,000 items, add 4,000 items and update 2,000 items - this is a vast improvement in efficiency compared to deleting 200,000 items and then adding 197,000 items! The efficiency gain of the synchronization system begins to fall with the more changes that the system has to make to a seller's current listings in order to bring them up to date. The "cut off" point is around the 50% mark, after this it is actually more efficient to simply delete all the seller's current listings and add their entire inventory again. Typically the main cause of seller files changing by more than 50% compared to their current listings is them applying a change to their file that affects every single item, for example if they change all their prices, add a new column of information, re-number their unique stock code, or perhaps apply a currency conversion to their prices that is based on fluctuating exchange rates. For sellers that fall into this category we schedule their upload to be processed overnight during off-peak hours. If you wish for your file to be uploaded in near real time, you will need to ensure that less than 50% of it changes between uploads. Normally you can achieve this by making frequent uploads so that your current listings are as up to date as possible. To confirm that your file will meet the criteria for near real time uploading, please check the following points: If your upload file passes all of the above criteria there should be no reason why our system identifies it as having changed by more than 50% compared to your current listings. Should you require more information about the above, or require assistance in ascertaining why your file is not able to be uploaded in near real time, please contact us at support@netsoundsmusic.com and we will try to assist you. Sellers with large databases. The netsoundsmusic.com system is able to cope with extremely large seller files as long as they meet the criteria for near real time uploading. Should a seller persist in uploading extremely large files that do not meet these criteria then netsoundsmusic.com reserves the right to suspend uploads for that seller until they comply. Alternatively the seller may register additional accounts and split their listings across the multiple accounts. In some cases we may also put a limit on sellers whose files do not meet the criteria for near real time uploading and only allow them to upload their listings once in a fourteen day period, at which point their uploaded file(s) will be processed by the system as soon as possible. Charges for uploading databases. Using the bulk upload facility within the seller admin area is free of charge, however netsoundsmusic.com reserves the right to charge any seller a GBP 10.00 for uploading their file on their behalf should they be unable or unwilling to do so themselves. This charge is per file and per account, should the seller have multiple accounts. Failing to update databases. Sellers who do not refresh their listings at least once every 90 days will be temporarily suspended from netsoundsmusic.com until an update is received. Updating seller information. Sellers can change details about their account, update their payment method, amend their settings and do much more by logging into the "Seller Admin" area. Credit / debit card payment types accepted. Most orders placed by customers through the netsoundsmusic.com web site will be paid for by credit / debit card For those credit / debit card types that sellers are capable of processing themselves (i.e. they have a contract with a credit / debit card Merchant and have the use of a PDQ machine for accepting card payments - THIRD PARTY PAYMENT PROCESSING IS NOT ALLOWED) they can select "Processed Ourselves". Alternatively, for those credit / debit card types that sellers can't process themselves, they may either select "Processed Through netsoundsmusic.com" to have netsoundsmusic.com process the payment type for them (where available), or "Not Accepted" to not allow orders to be placed using the payment type. Sellers should remember that a major percentage of customers using the netsoundsmusic.com web site are based in the UK and use Switch / Solo / Delta / Maestro to make their purchases, so if they are unable to accept those payment types yourself we recommend that you have netsoundsmusic.com process them for you. You will miss out on orders if you don't! Sellers that are unable to process any credit / debit cards at all themselves should select "Processed Through netsoundsmusic.com" for all card types (where available). If a seller selects "Processed Ourselves" for any of the credit / debit card types listed when applying to join netsoundsmusic.com, or when updating their seller information at a later date, then in order for us to verify their Merchant Account they will be asked to fax, post or email us a copy of either their Merchant Account Agreement or a recent Merchant Account Statement. The seller's application will not be processed, or their account will be temporarily suspended, until we receive this information. netsoundsmusic.com also reserves the right to occasionally re-verify a seller's ability to process credit / debit card payments themselves by requesting a copy of one of the aforementioned documents as proof that they still have an active Merchant Account Agreement. While this verification is taking place, a seller's account may be temporarily suspended. Other payment types accepted. Orders can also be placed through the netsoundsmusic.com web site that are paid for by PayPal, Cash, Cheque, Postal Order, Money Order, NoChex or Bank Transfer. Sellers that are capable of processing all or some of these payment types themselves can select "Processed Ourselves" to allow orders to be placed using those payment types. Alternatively, for those payment types that sellers can't process themselves, they should select "Not Accepted" to not allow orders to be placed using the payment type. Sellers should remember that it is their responsibility to arrange payment with customers should they place orders using these payment types. Overview of an order - netsoundsmusic.com processes payment. 1) The buyer uses the netsoundsmusic.com shopping facility to order one or more items. 2) This generates an email to the seller detailing the item(s) ordered and the buyers' shipping requirements. netsoundsmusic.com also receives a copy of this email. 3) The seller indicates by email to netsoundsmusic.com and the buyer, by replying to the original order email, whether the item is available and if so the total price including shipping in GBP. The seller must only advise netsoundsmusic.com that the item is available and that the order can be charged, if the seller actually has the item in stock and it is ready to despatch. It is not necessary to notify netsoundsmusic.com if an order is unavailable, although the customer should of course be informed. 4) netsoundsmusic.com retrieves the buyers' payment details from the netsoundsmusic.com secure server and processes the credit / debit card payment. netsoundsmusic.com confirms to the seller by email if payment has been successfully received or has failed for some reason. 5) If payment has been received, the seller ships the order and confirms to the buyer by email that the order has been shipped. It is not necessary for the seller to confirm that the order has been shipped to netsoundsmusic.com. 6) netsoundsmusic.com pays the seller on the first of each month for the previous months gross sales / refunds processed, less netsoundsmusic.com' commission. Commission charges. Commission rates are currently as follows:- 1) Sales where the seller has processed the payment (SALE6, SALE7, SALE8, SALE9, SALE10):- netsoundsmusic.com charge 5.0% commission on ALL orders forwarded EXCEPT duplicate and fraudulent orders. Should an order be forwarded where payment fails, (or prior to 1st July 2005, where the customer wishes to pay by a means not accepted by seller,) the seller is reponsible for arranging alternative payment with the customer and the 5.0% commission charge will still apply. In exceptional circumstances only, will this commission charge be waivered. Should a seller not make payment by the due date, that seller will be suspended from netsoundsmusic.com until payment is received. The above commission rates are all subject to VAT at the current rate. Currency Fluctuations. Seller listings are stored within the netsoundsmusic.com system in the native currency that they are uploaded in. The system then converts prices dynamically depending on the currency that the customer has selected to view the netsoundsmusic.com web site in. ALL orders forwarded to sellers are currently sent in GBP and prices converted at the prevailing exchange rate. We endevour to ensure that currency rates are updated promptly to reflect current markets based on data provided by third parties. netsoundsmusic.com cannot accept responsibility for any inaccuracy in that data, or any losses to sellers resulting from incorrect conversions. Should a seller suspect that their listings are being converted incorrectly they should notify netsoundsmusic.com immediately. Refunds. Where netsoundsmusic.com has processed a payment on behalf of a seller, netsoundsmusic.com reserves the right to charge commission on any refunds that are instructed by that seller, where an order has been correctly charged in accordance with that seller's previous instructions. netsoundsmusic.com can only make a refund to the same value as the amount originally charged. Should a seller require a different amount to be refunded, for example to make allowance for a restocking charge, then the seller should make the refund himself directly to the customer. To request that netsoundsmusic.com refund a customer for a previously charged order, the seller should reply to the original order email that they have received, requesting the total amount to be refunded in GBP. This will ensure that the refund request reaches the correct department and that the required information is contained within the email. Copies of previous orders can be found in the "Seller Admin" area. Furthermore, netsoundsmusic.com reserves the right to withhold monies owing to a seller, should we believe that it may be necessary to refund the customer at a later date. Fraudulent transactions. Fraud inevitably plays a part in on-line commerce and music is no exception. However it is far from significant enough to discourage on-line business. With diligence, losses are relatively rare and we have not heard of an on-line seller who has ceased trading due to the risks of fraud. However if you carry out a significant amount of on-line trading the chances are that there will sometimes be an attempted fraud. In most cases of fraud the credit card company is in control and netsoundsmusic.com is not in a position to protect a seller from losses through fraud. If the seller processes their own payments then it is up to the seller to be sure that the credit card is being used legitimately to purchase their goods. We would recommend taking extra care when receiving orders from third world countries and former communist countries. Should any seller experience fraud or attempted fraud netsoundsmusic.com require the details to be forwarded to us for inclusion in our fraud database. Abbreviations. Abbreviations for the different types of media that our sellers have will vary slightly from seller to seller but generally they will all stick to easily understandable abbreviations. The following are typical of those that we encourage our sellers to use:-
Condition of items. netsoundsmusic.com encourages sellers to use the standard Record Collector grading system to describe the condition of their stock. If a seller uses their own grading system they should include all information in the relevant area of their seller details. The following are typical of the abbreviations that we encourage our sellers to use:-
Accept credit / debit cards on your own site. netsoundsmusic.com offers this facility to new and existing sellers. This will produce a link to the netsoundsmusic.com ordering system and will allow customers to place their order. netsoundsmusic.com and the seller will receive a copy of the order and it is then simply a case of confirming the total amount to be charged including shipping. netsoundsmusic.com will then charge the customers card and inform the seller when it is okay to ship the goods. Commission charged is 10% of the gross value of sales completed. Please click here to register for this service.
